Job Description:
Real Estate Paralegal w/Administrative Skills
We are looking for an experienced real estate or trusts and estates
paralegal (or someone with title expertise) to use their
administrative skills and ambition to grow with us. You'll be
responsible for managing office correspondence, including answering
phone calls and emails, arranging meetings and travel, and ensuring
our legal team is aware of upcoming deadlines.
We are a family-oriented entrepreneurial law firm with a mission of
making the lives of individuals, families, and small business
owners better and less stressful. We believe in being proactive and
believe we have systems to plan for accidents, incapacity, and
death in ways that most law firms ignore. Notice, we said "family
oriented". We do not do divorce or child custody. Rather, we help
clients plan in advance for minor children to prevent foster care
or being placed, even temporarily, with CPS, because the family
(and attorney) never considered what would happen if, in the
unfortunate event that both parents were no longer able to care for
them
Our office handles estate planning and administration and
transactional real estate closings, and business sales for small
businesses up to $5,000,000 per year. We also run a title insurance
agency out of the same space. We are hoping to find a paralegal
with transactional real estate or estate planning experience to
work as our Client Services Director. Ideally, you will want to
learn and assist with the title insurance business, for which we
will be able to offer part-ownership with absolutely no
investment.
Our perfect candidate will hit the ground running either as a
paralegal/Client Services Director and assist with either the
estate planning or transactional side of the practice (or both)
while helping to develop and implement systems. You'll be a key
team member to ensure our firm is operating efficiently. If you
work well in a fast-paced environment and consistently deliver a
high-quality work product, reach out to us today!
This is an opportunity for a real estate paralegal, estate planning
paralegal (or person with prior back-of-house title insurance
experience) to learn other areas and act as our Client Services
Director to become part of our team for the long term. We are two
attorneys right now, but looking to add key people for planned
growth.
How long-term? We are contemplating a salary, plus profit sharing,
plus ownership in our sister title company with zero investment
from you! This is a full-time position with a lot of room to grow,
as we are just in the process of establishing our systems, and will
need you to take the lead on implementation and execution on our
behalf, using the technology and training we've invested in to
support you.
Our office is located in Port Chester, NY and realistically you
should be within say a 30 minute drive. As we are sometimes busy
with end-of-month or last-minute requests, someone with the
flexibility to work a few evenings per month, or perhaps a Saturday
or two, is preferable.
Responsibilities:
--- Manage office correspondence and administrative tasks such as
answering phone calls, communicating with opposing attorney
offices, taking dictation, responding to emails, and reminding the
team of upcoming deadlines
--- Undertake other duties as needed to ensure the firm operates
efficiently
Your responsibilities will include heavy interaction with clients
to ensure that clients' needs and questions are addressed promptly.
You will utilize your paralegal expertise to prepare and manage
files so that real estate and business sales transactions are
moving forward, and estate planning clientele are providing
necessary documents on time, estate plans are being drafted, and
reviewed by clients on time, and ultimately to ensure that clients
believe that they could not have received this level of caring and
service anywhere else.As a team, we want you to be a part of
whatever is needed, setting meetings, conferences, and other
appointments, confirming these appointments, and coordinating with
outside vendors on possible events and presentations. For those
able to handle real estate closings, you will be offered the
ability to conduct lender closings outside the office at times, and
you will receive additional compensation. Likewise, for those who
desire to build a business, you will have the opportunity to become
a part-owner of our title company. Working in the same location, we
believe you will have a busy schedule during normal work hours, and
not need to work crazy hours to reap these benefits. However, our
ideal candidate would have the flexibility to work a few nights per
month or perhaps a Saturday or two per month.
Qualifications:
--- Candidates should be able to type at least 50 words per
minute
--- Ability to work effectively in a fast-paced environment and
meet deadlines with quick turnaround times
--- Candidates should have strong organizational skills and
communication skills
Knowledge of Microsoft Office, Easy Soft, Lawmatics, Wealth
Counsel, and other software is a definite plus. A notary license
and a driver's license are also preferred. Ability to speak, write,
and read English and Spanish would be ideal, and fluency in other
languages would be helpful.Ideal candidates would have at least an
associate's degree and three years of full-time paralegal
experience in a law firm.
About Company:
Law firms do what law firms do. Because of this, most law firms do
not think of how they could better serve their clients. Our law
firm was built on personal service, and out of personal service, we
have handled hundreds of closings for busy doctors, lawyers, and
executives without them ever coming to the closing.
Additionally, law firms do what has worked. We believe in taking
what works and making it better. Any attorney can handle the sale
of a painting contractor or a restaurant, but what if the painter
fights with his partner, or what if the restaurant owner dies and
the chef is supposed to pay his family? We try to plan and predict
before events occur, and we don't just handle "the sale", we ask
"what problem in the future can we prevent now"? It is all summed
up in our motto, The Time to Plan is While You Can!
